COMMENTS: Yes, Canadian Valley utilizes the helping clients succeed model. We are continually visiting with our business and industry partners about their training needs. We do have and use a needs assessment instrument which is included in our documentation. Our community needs assessment has been a tool that recognizes needs in our communities not only for training but also for quality and quantity of life. We also evaluate and implement changes using our course evaluations which our students complete with each course to help us meet the needs of our communities. Using our instructors as ambassadors has long been a tradition and practice at Canadian Valley Technology Center. Our instructors are oriented one on one upon hiring and every year we have an in-service in August to bring them all together to discuss new ideas, problem solve and improve programs and offerings. We use an online survey that prospective students can complete and receive a discount on their enrollment. This has been very instrumental in helping to identify needs of the community and to develop new offerings.

2. Does the technology center have established quality indicators that are monitored for continuous improvement of the ACD courses, products, and services?” Quality indicators. Assessment instruments (examples of course and instructor evaluations). Documentation of improvement process.   Met
Not Met
COMMENTS: Canadian Valley is always striving for the highest quality we can achieve. We use a course evaluation method completed by all students in confidence. Once this is completed the secretaries compile the results and the coordinators review them for content. This gives the coordinators a tool to use for not only improving our courses, but another means of evaluation of our instructors. We also gain knowledge of the needs of our students for future courses we don't currently offer. Our instructors are evaluated at least once a year by the coordinator but may be done at any time and as often as the coordinator identifies the need. The results are a permanent part of their files. Any improvements that need to be made can be visited about with the instructor on a one on one basis at a later date unless  immediate action is necessary. We also utilize a plan of improvement if necessary to help our instructors correct any deficiencies and become better instructors if warranted. If the plan of improvement is not effective we can utilize the documentation in the plan of improvement to dismiss the instructor.

3. Does the technology center ensure that ODCTE guidelines for providing ACD enrollment and class data are being followed? Student information forms. Samples of class outlines or syllabi, attendance rosters, beginning and ending times of training conducted, and contact information for instructors.   Met

COMMENTS: Yes. We follow the current Technology Centers Instructions for Providing Enrollment and BIS Class Data publication from the ODCTE Information Management Division. Our programmer is advised of any changes that need to be made and is supplied with a current copy of the publication. Students are enrolled electronically when they call, walk in or mail in their enrollment, we have no paper enrollment forms on file. All of the BIS secretaries are well versed in the class offerings we have and are able to answer questions for students when the need arises. Coordinators are available to answer questions when the perspective student needs further advisement. We also have course catalogues we mail out to 87,000 households twice a year with our offerings and three times per year we mail reminder fliers out as well. The brochures have descriptions of the courses, times, dates, hours and costs are also included. We also do direct mailing for specific classes such as coding, nurse aide etc. The instructors provide contact information to the students on the first night of class as well as a course outline and/or syllabus.

Does the technology center have an ACD marketing strategy and utilize a variety of effective marketing techniques?

Marketing plan. Course brochures. Promotional materials and strategies

  NA 12345

COMMENTS: Yes, we have a marketing plan. See documentation. ACD mails 87,000 brochures twice a year in July and December. Reminder fliers are mailed three times per year in October, March and May. The reminder fliers give us the opportunity to add new courses throughout the year and not have to wait until July or December. They also trigger our customers to call and get enrolled in courses they want to take before they fill. Approximately two to three weeks before classes begin we hit some of the local newspapers with our inrollment information and we post a reminder to call and get enrolled on our Facebook page. We also use direct mailing options to highlight courses that are new or sometimes might have low enrollment. Our brochures are also put in grocery stores, at our local chamber offices, in schools and restaurants in our district. We routinely use fax (and/or email) as a means to communicate to sending schools offerings such as Bus Driver and Bus Driver renewal and Special Education Para Professional. We  target senior centers in our areas with fliers and drop in visits to discuss courses such as Computers for First Timers or Jewelry Design. Presentations are made at local community interest groups and gatherings. Our advisory committee is an invaluable tool that is always willing to help with training needs and gives input on courses we might want to make available. They also hire our students after training. Many of our evening instructors participate with their daytime partners advisory boards.

5. Does the technology center support ACD instructor development and provide training in the use of instructional techniques to address a variety of learning styles?

Instructor handbooks.  Instructor orientation workshop agendas. Instructor evaluations. Professional development activities for improvement of instruction.

NA 12345
COMMENTS: Yes. Canadian Valley offers free training to adjunct faculty in ACD courses. Every instructor receives an instructor handbook upon hire. They also receive an updated one yearly at our August Inservice. This inservice allows the instructors to visit with their student services counterparts one on one and visit about items needed for class, what expectations each has about the classroom and equipment to be used. We encourage instructors to be leaders in their professional organizations and to attend updates and inservice opportunities within their professions. All instructors hired are met on a one to one basis with the coordinator and are given materials at the time of hiring for payroll, OSBI background checks, instructor evaluations and a copy of Telling Ain't Training by ASTD Press, Harold D. Stolovitch and Erica J. Keeps. It is also available for purchase for the Kindle. This book tackles three universal and persistent questions of the teaching profession - how do learners learn, why do learners learn and how do you make sure that learning sticks. It focuses on active mental engagement. The ultimate goal of this book is to allow the reader an opportunity to break through learning barriers, to separate learning myth from research-based facts, and to dispel counter productive beliefs and practices that harm the instructional process. Instructors may call or make an appointment with a coordinator at any time to discuss items of concern or any other reason the instructor has identified. Our instructors also may attend professional development workshops and classes that are set up throughout the year for full time instructors. Some of those are Moodle training and Microsoft training. They also have the opportunity to use our online portal to view training on various subjects throughout the year. Instructor evaluations are done at least one time per calendar year but may be done at anytime and as often as the coordinator identifies the need.

6.

Does the Adult and Career Development Division participate
in professional development activities to stay abreast of current
trends in adult education, program development, learning
technology delivery, and evaluation?

Attendance at meetings and adult coordinator forums. Certificates of completion. Certifications. Professional association memberships. Completion of Business and Industry Services Certification Program (BISCP). NA 12345
COMMENTS: Yes, with the support of our administration, we are fortunate to be able to attend any and all staff development sessions we feel necessary to fulfill our job responsibilities. All ACD coordinators have completed the BISCP program and attend updates as needed. Our administration encourages our involvement with meetings, BIS Forums, LTC Workshops, AC Forums and all Careertech sanctioned events. We also have full support of our administration in our professional association meetings and activities.

7.

Does the technology center have an appropriate level of personnel and resources to provide quality customer service and to support adult and career growth and development?

Organizational chart. List of ACD staff and their duties and responsibilities. List of resources used by ACD to serve customers; i.e., equipment, curriculum, and appropriate computer software and hardware. NA 12345

COMMENTS: Yes, we have the resources of the entire Business and Industry Services department at Canadian Valley Technology Center. All BIS staff and 8 secretaries are cross trained and are available to assist as needed. We have three coordinators responsible for development, marketing, scheduling, advisement, supervision and coordination of short-term and full time BIS programs. Our marketing department is active upon request to assist the adult cooordinators with advertising and general marketing strategies. ACD is included in all marketing efforts of the district. We partner with the local community college to sponsor our Manufacturers Extension Agent, Mike Raymond, who provides an additional set of eyes and ears in the community. We also have Gene Pflughoft, Executive Director of Cord, as a resource for us in our communities. Every Monday afternoon at 3:30pm, all the coordinators, secretaries, BIS director, custodial staff and sometimes other administrative staff meet to troubleshoot and brainstorm ideas. This is also a time when we share what we have been doing as well as our scheduled activities for the coming week. This is invaluable when you get that many educated people in one room and you are able to use resources from all of them.  These coordinators also offer relief and support to the adult coordinators when necessary.  (LINK TO ORG CHART) (LISTS OF STAFF/JOBS, EQUIPMENT, RESOURCES)

8.

Does the technology center have an appropriate technology plan to address community needs?

School and/or division technology plan. List of technology resources. Improvements for last five years.

NA 12345
COMMENTS:  There is a 5 year plan that is updated every few years and sent to ODCTE.  This document is maintained in coordination with our full time IT/Computer Instructors, our former lead IT technician (not the Assistant Business Office Manager, or Chief Technology Officer, and a ACE Coordinator, a Web Development Specialist in Chickasha, and Assistant Superintendents from El Reno and Chickasha Campuses. (Need to Link to the current IT Plan)
