INTRODUCTION

The Administrative Medical Office program at Canadian Valley Technology Center Cowan
Campus is an open-entry/open-exit program that prepares adult students for careers within the
administrative medical office field. The instructor teaches three career majors in the
Administrative and Information Support pathway. These majors include Administrative Medical
Assistant, Medical Office Assistant, and Medical Insurance Coder. Fourteen students are
enrolled. The program's competencies are currently identified through Brainbench, IC3,
Microsoft Office Specialist (MOS), and Microsoft Certified Applications Specialist (MCAS)
industry certifications.

Students receive opportunities to develop and apply leadership, social, civic, and business-related
skills through Business Professionals of America, the CareerTech student organization for high
school and adult business and information technology education students. However, the students
do not pay the BP A membership fees and therefore do not participate at the state and national
levels. They do participate in leadership and co=unity service activities at the local leveL

COMMENDATIONS OR STRENGTHS

The program facilities are conducive to learning and support a laboratory environment. The
computer lab, which is equipped with flat-panel monitors, is spacious and aesthetically pleasing.
A small conference room is available for meetings with small groups or individual students, and
a larger one is available for team-building activities or projects. The instructor has adequate
storage space and an area designated as office space within the classroom.

The program has a cooperative agreement with Redlands Community College that enables
students to earn college credit hours while attending the technology center.

The instructor has a bachelor's degree in business education and will receive her standard
teaching certificate after completing the year-of-residency requirement.

The advisory committee has strong industry representation. It meets regularly, and its
recommendations are implemented and well documented.

SPECIFIC RECOMMENDATIONS FOR IMPROVEMENT

STANDARD 1
Instructional Planning and Organization

Detailed course syllabi that clearly defme expectations, competencies, and assessments should be
developed, and students should receive a syllabus for each of their courses. Courses,
competencies, and required certifications need to align with the career cluster framework that has
been implemented within the BITE division. The instructor can access sample syllabi on the
BITE contentllearning management system-iCAT, or she can receive them bye-mail if she is
unable to access iCAT.

Career plans of study, based on the career cluster framework, should be created to help all
students progress through each level of training within their chosen pathway. Students should be
able to determine the CareerTech courses needed to complete a career pathway as well as any
articulated college courses that apply to that pathway from their plan of study. Sample plans of
study and can be downloaded from the Oklahoma Department of CareerTech website at

www.careerclusters.org.

Students should have a tracking sheet that clearly defmes the sequence of required
activities/assignments within each of the courses they take, the certification exams that they
correlate to, and the alignment of college credit as it applies to their occupational outcome/career
major. This information is crucial for students to understand and manage their progress through
their selected career major. It is also an important management tool for the instructor to track
individual student progress.

College credit should be clearly defmed in terms of course-to-course alignment or additional
work that must be completed to obtain the credit. This information should be clearly identified in
the syllabi, plan of study, and tracking sheets.

These changes should be implemented by August 1,2010. A follow-up visit will be scheduled to
determine if additional adjustments are needed and to provide further technical assistance.

STANDARD 2 Instructional Materials Utilization


Uniform, individual course syllabi should be developed to identify specific competencies that
will be measured/tested. The textbooks/curriculum and resources used should be listed on the
appropriate individual course syllabus. Students should receive a syllabus for each of their
courses. It is imperative that the instructor complete a competency crosswalk for each course to
ensure that the curriculum meets all state competencies and assists students in passing the
required tests. Currently, students are not taking required competency tests in the first two
courses of the career majors offered: Fundamentals of Technology and Fundamentals of
Administrative Technologies.

GENERAL SUGGESTIONS FOR IMPROVEMENT

STANDARD 1 Instructional Planning and Organization

The program's strategic plan should include more specific long-range goals to indicate a vision
or direction for planning purposes. This will assist the instructor and administrators in
developing a more cohesive plan for implementing changes or goals for the program.

Students should begin compiling their portfolios early in their career major so that examples of
their work can document skills learned in an ongoing process. The portfolio can then be flllalized
in the career major capstone course.

STANDARD 2 Instructional Materials Utilization

Implementing an online classroom management system-such as Blackboard, Moodie or
iCAT-is strongly recommended to maximize time with students and minimize busy work such
as making hard copies or changing and reprinting documents. Using an online management
system would not only reduce the number of classroom management issues but it also would
provide more opportunities for individualized instruction so students can progress through the
curriculum at their own pace.

Projects should be implemented into the program that have objectives and a method of evaluation
so that students can show evidence of teamwork, delegation, and time management skills. Welldeveloped

introduce real-world projects to the students.

STANDARD 3

Qualified Instructional Personnel

The instructor should complete the requirements for obtaining a standard teaching certificate and
continue to work towards industry and/or Brainbench certifications relevant to the competencies
addressed in the administrative medical office field.

STANDARD 8 Advisory Committee and Community Relations

High school representatives should be added to the advisory committee even though this program
is designed for adult students. A partnership with high school teachers would help promote the
adult program, and teachers from the various partner schools could be included on this
committee on a rotating basis so that new partnerships could be formed year after year.

STANDARD 9 Leadership Development


Students should be given the opportunity to join the Business Professionals of America (BPA)
chapter that already exists on the Yukon campus. Current students only have the option to join
the BP A chapter at the El Reno campus. This makes it difficult for students enrolled at the
Yukon campus to participate in any BPA activities or competitions.
